Who we are
Upcraftly Accounts is run by Upcraftly, 10 Pippin Court, IP28 8FX. We're registered with the Information Commissioner's Office (ICO) under registration number ZC262188. You can contact us about privacy at info@upcraftly.co.uk.
Two kinds of information
Your account information. This is information about you as our customer: your name, email address, business name, the plan you're on and your billing history. We decide how this is used, so we're the "controller" for it.
Your business records. This is the information you put into the app: your customers' and suppliers' names and contact details, invoices, bills and payments. We only use this to run the service for you. You're the controller for it, and we act as your "processor", following your instructions.
What we use information for
- To provide the app: storing your records, sending invoices and payment reminders you've set up, and reading bills you email to us.
- To take payment for your plan.
- To keep the service secure, including a log of who changed what.
- To contact you about your account, such as receipts, trial reminders and important changes.
Our lawful bases are: to perform our contract with you, our legitimate interest in running a secure and reliable service, and our legal obligations (for example, keeping financial records).
We don't sell your information, and we don't use it for advertising.
Who we share it with
We use trusted service providers to run the app. They may only use your information to provide their service to us.
- Supabase: database and logins (data stored in the EU, Frankfurt).
- Cloudflare: hosting the website and app.
- Stripe: taking card payments for your plan. We never see or store your full card number.
- Resend: sending and receiving emails, including invoices, reminders and emailed bills.
- OpenAI: reading the amounts on bills you email to us. Bills are sent for reading only. Under our agreement with OpenAI, they aren't used to train its models.
Some of these providers may process information outside the UK, including in the USA. Where that happens, it's covered by the UK's approved safeguards, such as the UK International Data Transfer Addendum or the UK–US data bridge.
How long we keep it
We keep your records while your account is open. Because UK tax rules require business records to be kept for at least 6 years, we keep financial records for 6 years after the end of the financial year they relate to, unless you ask us to export and delete them sooner and the law allows it. Sign-in logs and security records are kept for up to 12 months.
Cookies
We don't use advertising or tracking cookies. The app stores a sign-in token in your browser so you stay logged in. This is essential for the app to work. Our website loads its font from Google Fonts.
Your rights
You can ask to see, correct, export or delete your personal information, or object to how we use it. Email info@upcraftly.co.uk and we'll reply within one month. If your request is about your customers' or suppliers' information in your records, you can usually make the change yourself in the app.
If you're unhappy with how we've handled your information, you can complain to the ICO at ico.org.uk.
Changes
If we change this policy in a way that matters, we'll tell you by email or in the app before the change takes effect.
